Whilst doing your research for marquee hire in Newcastle upon Tyne, you will have noticed that marquee hire can be expensive.

There are many marquee hire offerings. A lot of companies service large events, so when you get a quote from one of these companies, they will come back with a quote that may be out of your price range, especially if you are looking to hold a smaller event.

The Party Tent Company was set up to provide marquee hire in Newcastle upon Tyne that is not only affordable but also to offer a catering service for small-medium sized events. We believe that marquee hire should be accessible for everyone.

We have created an event checklist for things you need to consider when organising your event:

Location – Where are you holding the event? Is it in your garden or is it at a venue? Either way, we will meet you at the location and discuss your event in the form of a free site visit.

Number of guests – Consider the number of guests that you’re inviting to the event.  If it is a marquee for a wedding, they may have a guest list for the daytime and then more guests will join for the evening (usually this is the case). Not all the guests in the evening will need to be seated. My tip to anyone who wants to encourage dancing is not to seat everybody.

Sticking with the example of the wedding for a moment. It would be likely that all the daytime guests will be seated. The traditional seating layout in a wedding marquee would be a long top table for the bride, groom, best man and parents.  The rest of the guests would then sit at round tables. To put a spanner in the works most people are now opting for a festival style marquee seating plan, consisting of stretches of trestles and benches.

Other objects that require space – This is something to consider for any marquee event. At a formal event in a marquee, you may have a band, a dance floor, a cake cutting area or even a bar. Are you going to provide ample thoroughfare for serving staff? If it is a wedding is there going to be a top table? What about space for flower arrangements? Some of our customers play oversized games (connect 4 etc).  This adds a bit of fun to the occasion, will there be room for things like that?

Entrances & windows – Determine where there are going entrances to the marquee that work with the location. You want the marquee to be easily accessible for your guests. Check where the sun comes up and goes down in relation to the marquee. Are there any special views that you want your guests to admire? Position windows accordingly to make the most of them.

Catering – The guests will need feeding. Is the customer doing the food themselves? Or are outside caterers doing the food? How will the food be delivered? Will there be a prep space? Can the food be prepped elsewhere? Is it buffet style food or will it be served formally?

Entertainment – Will there be a singer or a DJ? What requirements and how much space will they need? What time will they arrive/leave?

Toilets – Are there going to be enough toilets for the guests to use? If there aren’t enough then maybe a couple of porta-loos would do the trick.

Electricity –Check with caterers and entertainers to see what requirements they need. Will it put too much strain on the fuse board in the building? You don’t want a fuse blowing halfway through the event, that would be a disaster.

If you’re going to be using a lot of electricity, then maybe consider hiring a generator. A generator is built to cope with a lot of strain. Note – the hirers of the generator should ask you how much you will be plugging in and how long you will be needing the items to be powered for.

Insurance – Make sure you check with the appropriate person about insurance if you are using a venue as it is often required. If they supply insurance, great, get them to send it to you in writing. Always best to cover yourself.

Local Authority Licence – If you wish to use a public place you will need a licence. Get in touch with the local council to discuss the process of obtaining a licence.
